Labels
Create, assign, and automate labels to organize your contacts and inbox — by hand or with AI.
Labels are your personal tagging system. Give a label a name and a color, then assign it to contacts or identities. Labels appear on thread rows in your inbox and work as filters. You can narrow the view to exactly the threads you care about right now.
Because labels are per-user, your label set is completely independent of your teammates'. Your VIP label is yours — it never collides with, or influences, theirs.
Create a label
Open Settings → Labels and choose New label. The form requires two fields:
- Name — up to 50 characters. Keep it short so it fits cleanly on thread rows (for example, Support, Lead, Do not contact).
- Color — a hex value. Pick something visually distinct from your other labels to scan the inbox at a glance.
Labels are available to assign immediately after you save them.
Assign a label
You can assign a label to:
- A contact — the label appears on every thread tied to that contact, regardless of which identity sent the message.
- An identity — the label appears only on the thread tied to that specific identity.
This is useful when one contact has a work number and a personal number and you want to distinguish them.
To assign, open the contact panel for any thread, find the contact or the specific identity, and use the label picker. You can assign multiple labels to the same contact or identity.
When you remove a label from a contact or identity, the change is instant and updates your inbox view immediately.
Context menus for quick labeling
Right-click (or two-finger-click) any thread row in the inbox to open the context menu. The label submenu is there so you can assign a label fast and stay on the thread list.
Filter by label
Click Filter above the thread list, then pick a label from the Labels group. The inbox then shows only the threads that carry it. CommSync applies each label directly to the contact or to the identity behind the thread.
The menu has a search box at the top. Type part of a label name to jump straight to it, which stays fast when you keep many labels. The pencil on a label row opens its editor, and New label… at the foot of the group creates one.
An active label shows as a chip beside the Filter button, in the label's own color. Click the chip to remove that filter. You can combine a label with the other filters in the menu — a receiving line, Unread, and Contacts — and with any inbox view.
AI-managed labels
You can make a label AI-managed. Write a short prompt that describes what kinds of messages must get the label. CommSync's label classifier then applies it automatically to new threads as they arrive.
How it works
When a new message arrives, CommSync checks the recent conversation context against each AI-managed label's prompt. CommSync applies any label that matches to the thread, and the label chip appears in your inbox without any manual action from you.
Set up an AI-managed label
Create or open a label
Go to Settings → Labels and create a new label, or click a saved label to edit it.
Enable AI management
Toggle AI-managed on. An AI prompt field appears below the toggle.
Write a prompt
Describe the messages this label must catch — in plain language, up to 400 characters. For example:
"Apply this label when the message is a billing inquiry or payment question."
The more specific your prompt, the more precise the classification.
Save
CommSync applies the label to new threads immediately. CommSync does not reclassify threads you already have — the label applies from this point forward.

AI label requirements
- You must enable AI features in Settings → AI with a valid AI provider key.
- The label classifier draws from your workspace's AI credits.
- If you disable AI or your credits run out, the labels you assigned manually still work.
AI classification pauses when both the included pool and the purchased balance run out. It resumes once credits refresh or a top-up lands.

Editing and deleting labels
Open Settings → Labels to rename a label, change its color, toggle AI management on or off, or update the prompt. When you rename a label, the change appears everywhere immediately.
When you delete a label, CommSync removes it from every contact and identity you assigned it to, and removes it from all inbox filters. This action cannot be undone.
