How CommSync's AI layer works — label classification, machine-mail filtering, The Daily Brief, action items, and clearer thread titles, all on by default and individually switchable.


CommSync includes an AI layer that helps organize busy inboxes. It can classify labels, auto-file promotions and machine-sent mail, and pull to-dos out of new conversations. It also briefs your day in a priority-ranked recap and renames forwarded threads so they are easier to scan. It also helps you draft, polish, and summarize replies right in the composer (see AI compose tools). There is also Ask — a retrieval chat that finds messages you half-remember and answers with citations to the exact message. There are also Agents — AI teammates that can answer routine texts and email on your behalf.

Optional AI assistance

On by default, once AI is configured for your workspace

AI capability itself is an operator-level switch: CommSync needs a provider key configured for your deployment before any AI feature can run. Once your workspace has that key, every feature below turns on for you automatically. You do not opt in feature by feature. You can switch each feature off individually in Settings → AI if you prefer not to use it. If your workspace has no provider key configured at all, CommSync continues to send, receive, search, label, and organize contacts normally. The AI panel and settings simply have nothing to do.

How CommSync keeps AI controlled

CommSync designs AI features to be reviewable and budget-aware:

  • No duplicate work — CommSync does not run the same AI action twice on unchanged thread data.
  • AI credits — CommSync bills every AI action from your workspace's AI credits, a dollar-denominated allowance included with each plan. When you exhaust the included pool and any purchased balance, AI actions pause until credits refresh or a top-up lands.
  • Validated output — CommSync checks each AI response before it applies anything.
  • Activity logSettings → AI → Activity log shows recent AI activity, duration, and whether each run succeeded or failed.

If a response does not match what CommSync expects, CommSync ignores it and does not apply it in part.

Label classification

AI-managed labels apply automatically when new messages match the prompt you wrote for that label.

For example, a label named Billing can use this prompt:

"Apply this label when the message is about invoices, payments, refunds, or billing questions."

When a new message arrives, CommSync reads the recent conversation context, checks it against your AI-managed label prompts, and applies the labels that match. The label chip appears in your inbox without manual triage.

Inbox classification

CommSync can automatically file noisy senders into Promotions, Spam, and Automated Messages. Your inbox then keeps only the messages a real person wrote, while marketing, junk, and machine-sent mail move aside.

When a message arrives from a sender you have not filed yourself, CommSync checks the same signals real mail systems use. These include sender authentication (SPF/DKIM/DMARC), the List-Unsubscribe header, sender address patterns (like noreply@), and the content itself. CommSync then decides whether the sender is:

  • Normal — genuine human-written mail: real people and replies in a conversation. These always stay in your inbox.
  • Automated — important mail, but not written by a person.
  • Promotions — wanted marketing: sales, coupons, and promotional newsletters.
  • Spam — unwanted or malicious mail: phishing, spoofing, and scams.

Automated mail covers receipts, order and shipping confirmations, invoices, one-time codes (OTP/2FA), password resets, security and login alerts, calendar invites, and system notifications. You often want this mail; it is not junk. CommSync sends it to its own folder instead of the bin.

A few guarantees keep it safe:

  • Your moves win. Manual placement always sticks.
  • Your replies protect the sender. A reply makes them a contact, and CommSync never files a contact.
  • Spam is cautious. It needs a higher confidence bar than Promotions and Automated.

If you file a thread by hand — to Spam, Promotions, Automated, or back to the inbox — CommSync never re-files it. Once you reply to a sender, CommSync treats them as a real contact and keeps their messages in your inbox. Spam needs a higher bar than Promotions and Automated, because a wrong spam call hides real mail. You can tune every threshold in Settings → AI.

Automated Messages is on by default — and optional

The Automated filter keeps machine-sent mail out of your inbox, but it does not delete anything — it all lands in the Automated folder. Prefer to see receipts and codes in your inbox? Turn the filter off in Settings → AI. Classification of Promotions and Spam continues.

CommSync remembers a verdict per sender, classifies each sender once, and applies that verdict consistently across their threads. The inbox sidebar holds separate views for Promotions, Spam, and Automated — see Triage.

Machine-sent mail that reads like a person

Some automated mail reads as personal, even though a machine sent it. Marketers write welcome sequences like "Hey, I'm the founder, what made you sign up?" once and send them to every signup. CommSync recognizes mail sent through bulk and campaign platforms regardless of how personal the prose reads. CommSync files that mail to Automated Messages and keeps it out of the Home dashboard's "Needs your reply" list and the Daily Brief. CommSync also recognizes replies from real support agents and genuine team mailing lists, and leaves them alone.

When you connect a new email account or phone line, CommSync automatically runs the classifier across your historical senders. That way the back catalogue lands sorted, not just new mail. The backfill's status, and a button to re-run it, live in Settings → AI under the inbox classifier.

CommSync also tags every verdict with a version number. When CommSync adds a new category (for example, the Automated bucket), CommSync automatically updates any verdict still on an older version. This happens the next time that sender emails you, and the inbox self-corrects over time with no action from you. If you would rather apply the new categories to your whole current inbox at once, a workspace admin can run the one-time re-sort.

Action items

Shortly after a new message lands in your primary inbox, CommSync reads it and pulls out anything that still needs action. This can be a reply to a question, a document to send, or a time to confirm. CommSync adds each item to your to-do list on Home. Each item keeps a link back to the message that created it, plus a priority. It also keeps a due date when the conversation states one — for example, "by Friday" becomes that Friday.

Action items are private to you. CommSync extracts them only from your primary inbox — never from spam, promotions, automated mail, or muted threads. The same reading pass that writes The Daily Brief also refreshes your action items. Your to-do list stays current, and it never costs your workspace a second AI run.

When you reply to the underlying message, CommSync resolves the item automatically on the next pass. You can also check an item off, dismiss it, or add one by hand. See Home for the full walkthrough.

The daily brief

Once a day, CommSync assembles a brief — a recap of your inbox's real communications, ranked by how costly they would be to miss. What needs you now sits at the top. What was merely worth a glance sits at the bottom. The brief arrives two ways: as a cleanly designed email to your connected mailbox, and as an item in your CommSync inbox. It gives you a single end-of-day readout, so you do not have to reopen every thread.

CommSync leaves out threads filed into Spam or Promotions (by you or the inbox classifier), along with archived and trashed threads. That keeps the brief to real communication, not marketing.

The brief also follows the Home dashboard's channel rule. An owner or admin on the default inbox setup gets a brief about the channels they linked themselves — not every line the team connected. See Whose channels feed Home.

Each item carries a short headline, a one-line reason grounded in the actual conversation, and a priority (Urgent → For awareness). When the conversation clearly calls for a reply, CommSync also includes an optional drafted reply you can copy and edit.

You can configure, in Settings → AI:

  • Whether you turn the brief on.
  • The delivery time and timezone.
  • The minimum priority to include.
  • Whether you recap SMS, email, or both.
  • Which connected email account delivers the brief to you.

Thread titles

For forwarded emails and ambiguous subjects, AI can generate a clearer title. For example, if Priya forwards you a Shopify order confirmation, the immediate sender is Priya, but the thread is really about the Shopify receipt. CommSync can title the thread:

"Shopify receipt forwarded by Priya"

Thread title behavior follows a simple priority order:

Writing tools

The AI can help you write, right where you write. Two entry points, one on each side of the conversation:

  • The sparkles button in a thread's header opens the conversation's AI menu.
  • The sparkles button in the reply composer works on the text itself.

The thread-header menu can draft a reply from the whole conversation, summarize a long thread in place, or jump into Ask scoped to that thread. When an agent covers the line, the same menu also lets you take the conversation over. You can also approve the reply the agent has queued, right there in the thread.

The composer menu can continue what you started, improve the text, or fix misspellings and grammar. It can also shorten or lengthen your text, or shift the tone (friendly, formal, direct, warm). You can also describe any edit in your own words with Edit with AI….

Suggestions stream into a preview panel. Your draft stays untouched until you click Replace draft or Insert below, and CommSync never sends anything on your behalf. CommSync grounds drafts in the conversation you reply to, and writes them in your voice. It learns your voice from your own messages on the thread, on both Email and SMS conversations (texts come out text-length, not essay-length).

Grounded, not inventive

These tools only know what is in the conversation they handle. CommSync instructs them never to invent facts, prices, dates, or commitments. When something is genuinely unknown, the draft asks for it. It does not invent one.

Every row defaults to on. There is nothing to turn on to get started — only things to turn off if a feature is not for you.
