Conversation notes & to-dos

Keep a private sticky note and a to-do checklist on any conversation.

Every conversation has a sticky note — a private place to jot context and keep a to-do checklist about that specific thread. It is the single notes surface in CommSync: notes attach to the conversation, so the same note travels with the thread wherever you meet it.

Private to you

Conversation notes are personal — only you see your note and to-dos on a thread. A teammate who views the same conversation keeps their own separate note. CommSync shares nothing here, so it is a safe scratchpad.

How to open a note

Open any conversation and click the checklist icon in the header toolbar (next to the share-link button) — or right-click a conversation row and pick Notes…. A panel slides in from the right with two parts:

  • Note — a sticky-note editor for anything you want to remember about this thread.
  • To-do — a checklist of tasks tied to the conversation.

The header icon shows a small badge with your number of open to-dos. It also shows a dot when the note has any content. This lets you see at a glance which conversations still need something from you.

The note editor

The note is a real sticky note — warm paper you can recolor with the swatches above it (CommSync saves the color with the note). The editor supports markdown-as-you-type:

  • # at the start of a line makes a heading
  • **bold** and *italic* format as you type
  • - starts a bullet list, 1. a numbered one
  • > starts a quote

Notes vs. to-dos

Write a note

Type on the sticky note and press Save. The note saves deliberately, so an accidental close never loses a jot. CommSync will ask you to confirm if you close the panel with unsaved changes.

Add to-dos

Type a task in Add a to-do… and press Enter. Checklist items save instantly.

Tick things off

Check an item to mark it done (it stays on the list, struck through). Delete an item with the trash icon when you no longer need it.

On every thread

Because the note attaches to the conversation, it works everywhere. That includes 1:1 threads, group email threads (which do not resolve to a single contact), and contact conversations. It also includes threads you open through a Team view. It replaced the old per-contact notes field, so there is exactly one place to look.

Great for follow-ups

Use the checklist for the small promises that get lost in a thread — "send the invoice", "confirm Friday", "loop in Priya". The open-to-do badge keeps them visible from the inbox header.

Notes are private; comments are shared

A sticky note is yours alone. To discuss a conversation with your team, use team comments — the discussion panel every teammate with access to the conversation shares.
